Tentmaker58 LLC ("Tentmaker58," "we," "us," or "our") operates Tentmaker58, a church management platform used by Seventh-day Adventist churches, conferences, and their programs (Bible Bowl, Pathfinder, Services scheduling, and related ministries). This Privacy Policy explains what information the Service collects, how it's used, and the choices available to you.

Tentmaker58 is used by organizations ("Organizations," "churches") to manage their own members, volunteers, and program participants. In most cases, the Organization — not Tentmaker58 — decides what information to collect about its own people and is responsible for that decision. Tentmaker58 processes that information on the Organization's behalf to provide the Service.

Information We Collect

Account information

When you sign in, authentication is handled entirely by Microsoft Entra External ID — Tentmaker58 never receives or stores your password. We receive your display name and email address from Entra to create and identify your account.

Roster and participant information

Organization administrators may enter information about the people they serve — including children and youth participating in programs like Bible Bowl or Pathfinder — such as name, date of birth, contact email, phone number, church membership status, baptism date, and guardian relationships. This information is entered and managed by the Organization, not collected by Tentmaker58 directly from children through the Service.

Communication preferences

You control whether you receive email and/or SMS text message notifications from your account settings. SMS notifications are off by default and only sent after you explicitly opt in; you can turn either off at any time.

Program and activity data

Depending on which programs an Organization uses, the Service may also store scheduling assignments, Bible Bowl quiz results and scores, channel/announcement participation, and similar program-specific records.

Usage and audit records

The Service keeps a record of significant account and administrative actions (for example, who updated a role, approved a membership, or changed a setting) for accountability and security purposes, visible to authorized administrators within an Organization and to Tentmaker58 platform administrators.

How We Use Information

We use the information described above to:

• Provide, operate, and maintain the Service for your Organization
• Send the notifications and reminders you or your Organization have enabled
• Maintain accountability and security records of administrative actions
• Respond to support requests and communicate with you about your account

We do not sell personal information, and we do not use it for advertising.

Who We Share Information With

Tentmaker58 uses the following service providers to operate the platform. Each processes only what's necessary to perform its function:

• Microsoft (Entra External ID, Azure) — authentication, and hosting of the application and database.
• Twilio SendGrid — delivering email notifications and announcements on our behalf.
• Twilio — delivering SMS text notifications, only to recipients who have explicitly opted in.

We don't share information with any other third party except where required by law, or with your Organization's own administrators as part of the normal operation of the Service.

No mobile information, including SMS text messaging originator opt-in data and consent, is shared with any third parties or affiliates for marketing or promotional purposes. This applies regardless of any other data sharing described in this policy.

Children's Information

Tentmaker58 is a tool used by adult church staff and volunteers to help run programs that include children and youth. Information about a child is entered by an Organization's authorized staff or a parent/guardian, not collected by Tentmaker58 directly from the child through the Service. Organizations are responsible for ensuring they have appropriate parental or guardian permission consistent with their own policies and applicable law before entering a child's information.

Data Retention

We retain information for as long as your account or your Organization's account remains active, or as needed to provide the Service. You or your Organization administrator can request deletion of information at any time by contacting us below.

Your Choices

• You can review and update your own contact number and notification preferences anytime in Settings.
• You can ask your Organization's administrator to review, correct, or remove roster information they manage about you or a child in your care.
• You can contact us directly (below) with any privacy question or request, including a request to access or delete your information.

Security

Information is transmitted over encrypted connections and stored on Microsoft Azure infrastructure. Access within the Service is limited by role- and organization-based permissions, and significant administrative actions are recorded in an audit log.

Changes to This Policy

We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above.
